TOURING CLUB SWISS (TCS) CASE STUDY

THE COMPANY : TOURING CLUB SWISS

TCS (Touring Club Swiss) is the Swiss equivalent to the American AAA (American Automobile Association). Like AAA, it is member based and offers a portfolio of services to its members
including emergency roadside assistance, travel agency services and legal council. One, of the oldest institutions in Europe, it was founded in 1896 and employs 1050 people at its Geneva,
Switzerland headquarters.

THE CHALLENGE

As an organization managing the needs of scores of individuals across Switzerland -- 1.5 million members – TCS needs a solid IT infrastructure and an efficient and capable IT department. In fact, the company’s IT department plays a major role in the management and planning of many of TCS’s business operations. In order to manage their many complex IT and operational support projects, TCS needed a solution that blended well with their long term IT strategy – IBM Domino and WebSphere - while providing centralized planning and management functionality and leveraging their MS Project desktops.

TCS’s IT department is made up of 76 employees; 9 Project Managers, 13 Senior Managers (including the CIO),12 developers and various staff members in administration, Help Desk, maintenance, systems and monitoring roles. The company is a long time Domino user (7 years) and wanted a system that would integrate with Microsoft Project which is used by many of the project managers for project plan details and schedules. With such a large staff, they also wanted the ability to store all project information in one location that could be accessed easily by team members and project leaders and provide managers with high level views of project status and costs. “We had been using PSN8 for high level project planning and management. But this application was limited in that it was not a centralized system. We needed a solution that would allow us all to see updated information on the fly. Project4Domino does that.”, says Emmanuel Gattone, Project Management Manager.

THE SOLUTION

TCS was able to deploy Project4Domino in record time – 3 months. The software runs on Domino 6.5.3 on Windows 2000 - server and client. Now the company has a department wide, centralized tool which allows them to develop and manage their long range project plans, while integrating individual project details from MS Project. From one location, Project4Domino allows them to manage their resources and allocate tasks to appropriate individuals, monitor time spent on specific tasks, manage and edit associated documents and run management reports. In MS Project, they maintain the estimated and actual task completion dates, the charges associated with each task, and the task deadlines. They then periodically synchronize between the 2 systems to give them high level summaries of project(s) progress and show senior management how each project’s status effects their long term plan.

THE RESULT

TCS has gained fully functional, centralized project management functionality, without compromising their investment in MS Project. Each team member can continue to update his/her tasks in MS Project and the data can be synchronized to update the master plan in Project4Domino. In addition, management can more easily track project status and costs and make adjustments if needed.

“Project4Domino works great. The high level views and reports are extremely useful in monitoring our project operations. The system really helps us make better decisions quickly to see projects run smoothly, on time and on budget. This helps TCS overall as a business. We didn’t have this capability before”, continues Emmanuel Gattone.
